How to prepare a stationery project brief

A checklist for moving from a reference image to clear review inputs.

Describe the job the product must do

State who will use the product, what it will hold and where it will be used. Choose a main product family, then describe the reference rather than assuming its dimensions or material.

Separate confirmed inputs from open decisions

  • Reference: sample ID, drawing version or source image and its permitted use.
  • Dimensions: finished size, internal usable size and tolerances where applicable.
  • Structure: rings, clips, pockets, closures and removable parts.
  • Materials: identify each component; mark an unknown composition as unconfirmed.
  • Artwork: logo placement, print files, colors and the approval owner.

Add the commercial questions

Record the requested quantity, destination market, packaging needs, desired timing and sample requirements. Ask for the applicable MOQ, fees, terms and schedule; do not treat a desired date as an accepted delivery commitment.

Before handing over the brief

Check that the attached references describe the same product version. List unanswered questions explicitly so that a later quotation or sample approval cannot silently fill them with assumptions.
